Look for the work that explains itself.

The most useful records connect a request to the work and to the result. A single entry matters less than the story around it.

Where to look

Five places most established businesses keep this kind of history. Choose one to see an example.

  • Requests, changes, delivery problems and how each was settled.

  • Customer questions and the answers your team gave.

  • Faults, checks, parts and fixes, in the order they happened.

  • Quotes, revisions, change requests and final results.

  • Disputed charges and the explanation that closed them.

Order historyDistribution

Short shipment on a standing order

  1. We received 40 cases against an order for 48.

  2. Checked the pick list. The quantity was keyed wrong at packing. Sent the 8 cases the same day.

  3. Order complete. A second count was added at packing for that item.

Three illustrations

One from each of the trades we hear from most. Each shows a request, the work and the result.

Order historyDistribution

Order shows delivered, never arrived

  1. Our order shows delivered on Monday. Nothing reached our dock and we need it by Friday.

  2. Traced the carrier scan. It was left at the wrong dock on the same street. Reshipped overnight.

  3. Order received. The carrier was told about the dock label and the cause is noted on the account.

Billing questionsLogistics

Extra charge on a freight invoice

  1. Invoice 2214 carries a charge we did not agree to. Please explain it before we pay.

  2. Compared the rate sheet with the bill. A fuel surcharge was applied twice on one lane.

  3. Corrected invoice sent. The duplicate rule was removed for that lane.

Service logManufacturing

Line 2 press stops with a fault code

  1. Press on line 2 stopped mid-cycle and shows a hydraulic pressure fault.

  2. Read the controller log, tested the pressure sensor and found it reading low. Replaced the sensor.

  3. Line back in service. Sensor added to the quarterly check list.

Illustration, not a client record

Labelled illustrations, not client results. Records that name people or customers need extra care. A partner will explain how that is handled before anything moves.
